# What makes an enterprise knowledge assistant useful at work?

By Sean Everett · October 8, 2026

Connect answers to the task, the source material and the next decision. Build access, currency and unresolved questions into the experience from the beginning.

## Begin with the task that creates the question

A useful knowledge assistant understands where a question arises in the work. Identify the person asking, the decision they face and the information they need to continue. A broad collection of documents can still leave that decision unanswered.

Interview people about recent situations rather than asking only which AI features they want. What were they trying to finish? Where did they look? Which detail remained uncertain? Those examples reveal requirements for context, sources and the shape of an answer.

Evergences’ enterprise knowledge-assistance work used customer-development interviews to frame a product spanning knowledge from several operating products. The cross-product concept focused on answering questions in the context of the user’s work.

## Make the answer usable and traceable

Choose the sources needed for the task and define how changes reach the assistant. Preserve the identity, version and access rules of the underlying material. A document being available somewhere in the company does not mean every employee should receive its contents.

Show the supporting material beside an answer when the user needs to verify or act on it. Distinguish a retrieved statement from a recommendation or a conclusion drawn across sources. Preserve conditions that affect whether the answer applies.

When information is missing or conflicting, make the unresolved point visible. Ask a focused question, identify the missing source or direct the user to the responsible person. Design this path with the same care as a successful answer.

## Evaluate whether the person can continue

Test with representative work questions and the permissions of the people who ask them. Include outdated documents, similar names, conflicting instructions and questions the available sources cannot answer. Review the answer and the path taken when the system cannot finish.

Measure whether users can complete the intended task, how much checking they still need and which problems require escalation. A correct isolated answer can still arrive in a form that is difficult to use.

Evaluate the work of assembling context as well as the answer itself. The product should help the person gather the information needed and carry the task through to completion. Bring human or subject-matter expertise into the workflow where it improves the result, and make that contribution part of the task design.

Start with a bounded group of tasks and sources. Expand as the team understands ownership, maintenance and support. Give new sources a clear reason to be included rather than assuming more material always improves the experience.
